Privacy Policy
Version 2026-10-v1 / Updated October 2026
This explains what we collect, how your documents and vehicle records are used, who can see them, and the rights you have over your data.
1. Who we are
DRIV3 is the controller of the personal data described here. We handle your data in line with the UK GDPR and the Data Protection Act 2018.
2. What we collect
We collect only what the service needs to work:
- Account details: your name, email address and sign-in credentials.
- Vehicle details: registration, VIN, specification, photos, mileage readings, events, costs and suppliers.
- Documents: invoices, MOT certificates and receipts you upload or forward to a vehicle's inbound address.
- Your V5C: the file you upload, plus the vehicle details and number of previous keepers read from it. We do not copy keeper names or addresses into the vehicle record.
- Payments: records of subscriptions and passport purchases. Card details are held by Stripe, not by us.
- Passports and contact: the email address a passport is sent to or bought with, and messages sent through the owner contact relay.
- Technical and security data: sign-in times and an audit record of support actions on your account.
3. How we use it
We use your data to:
- Run your garage and keep each vehicle's history.
- Read invoices and V5Cs automatically and suggest details for your approval.
- Calculate running costs and rule-based maintenance forecasts, and send your monthly digest if you have PLAN (you can opt out in your profile).
- Produce Vehicle Passports, email them and their PDFs, and tell you when one is sent or bought.
- Pass messages between buyers and keepers through the contact relay without revealing either email address.
- Take payments, and protect against duplicate or fraudulent registrations.
4. Automated document processing
Invoices, MOT certificates and V5Cs you send in are processed by an automated reader to pull out structured details such as date, mileage, garage, cost, vehicle specification and number of previous keepers. Nothing is saved until you confirm it. Your documents are not sold, and they are not used to train general-purpose artificial intelligence models. Costs, forecasts and scores are calculated by fixed rules, not by artificial intelligence.
5. What a buyer sees in a Vehicle Passport
When you send a passport or list a vehicle publicly, the recipient can see:
- Vehicle specification and photo, Verified status, number of registered keepers from the V5C (or, without one, the number of DRIV3 ownership records), service and MOT history, mileage progression, spend summaries, documents held (type and date only), forecast and the record health score.
- They cannot see your name, email address, contact details, purchase price, V5C, original document files, inbound email address or account information.
- Public listing and owner contact are off unless you switch them on for each vehicle.
6. Who can see your data
Your records are private to you. Authorised DRIV3 support staff can access accounts and vehicles to provide support, verify ownership and maintain data integrity; every such action is logged with a reason. We use trusted providers for hosting and storage, email delivery, payments (Stripe) and automated document reading. We do not sell your data.
7. What happens on transfer
When a vehicle moves to a new keeper, the vehicle's history moves with it. Your V5C, private documents, purchase price, personal details and account information stay with you and are not shared with the new keeper. Verified status is removed until the new keeper uploads their own V5C.
8. Keeping data
We keep your account data while your account is open. Passport download links expire. Records of payments are kept for as long as tax law requires. If you close your account, your profile, V5C and private documents are deleted, while vehicle history remains attached to the vehicle so its record stays continuous.
9. Your rights
You can ask for a copy of your data, have it corrected, or ask us to delete it. You can also object to certain processing or ask us to restrict it. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk).
